How I Work
Working Virtually. So just how do we work together from two separate geographical locations?
It's really pretty simple. We communicate regularly by email and telephone.
You provide me with the information and files I need, usually via the
Internet, but of course using our fax machines and U.S. Mail, UPS or
FedEx when necessary. I carry out the tasks you've entrusted to me, and
deliver the finished work to you.
There are very few types of administrative work which can't be handled
with these methods. Using a virtual assistant has become a common and
sensible solution for literally thousands of small businesses and entrepreneurs,
and almost certainly can work for you too.
Free Consultation. During your initial consultation
by phone, we can share information and discuss working together. Please contact
me to set up a time.
Month-to-Month. I offer my services as a Virtual Assistant
with a minimum of 10 hours per month, in order that I can plan my schedule.
By the Project. Web development work is typically by the project, with an estimate provided in advance.
"Test-Drive". It can be helpful to "test-drive"
working together, so for the first project or two, you may engage my services
for less than the minimum.
My Contract. My clients sign an Agreement before
we begin. This agreement states the basic terms of our contract work
arrangement. I have a separate contract for virtual assistant work and for web development work.
Billing. Invoices are sent via e-mail on the 1st of
each month. Payment is due by the 15th of the
month.
All time spent on your tasks and projects is billable time. I track
my time by the minute, and whenever possible, group tasks so as to use
my time most efficiently. A monthly statement will provide a brief summary
of how my time was spent. I am committed to 100% honesty and accuracy
in tracking time and billing.
Any out-of-pocket
expenses I incur on your behalf will be billed on your next monthly invoice.
Business Hours. Although I work "virtually",
I still keep normal business hours, 9:00 AM to 5:00 PM Central Standard
Time, Monday-Friday.
Daily communication. To make the most efficient use
of both your time and mine, email is my standard method of communication
with my clients on a day-to-day basis.
Once we are working together regularly, I prefer to use phone calls
only when a specifically back-and-forth discussion is called for, or
for an urgent situation.
Monthly Meetings. I like to have a phone meeting with
my clients at least once a month, to give us each time to go over anything
we've been too busy to discuss.
Parting Ways. I hope that we will be working together
for a long time, but if you find you don't need my services anymore,
our virtual assistance contract can be terminated with 30 days notice.
